How does Coding Department ensure compliance?
We offer several layers of compliance, beginning with extensive training for all of our medical coders. This ensures that each member of our team that comes in contact with your charts is aware of their compliance obligations. Our proprietary medical coding software, purpose-built for medical coding on the SalesForce platform, proactively blocks inaccurate coding and acts to guide medical coders as they complete their work. Lastly, we are regularly audited by a leading HIPAA compliance firm to ensure our process and infrastructure meet the highest standards for security and observe all applicable regulatory guidelines.
How do I start the process of outsourcing my medical coding services?
If you offer home health care or hospice health care, simply fill out the free trial form. Below is a step-by-step process of our contract agreement:
- Click Free Trial
- Fill out the form with information (name, email address, agency name, etc.)
- After clicking Start My Trial, you will receive an email with the Hellosign document URL
- After clicking the URL, you will be redirected to the Coding Demonstration Agreement and HIPAA Business Associate Agreement documents
- Read both agreements, fill out the form with information, and sign
- Wait for an account executive to contact you for questions and scheduling

How do you ensure patient information is protected at Coding Department?
Coding Department is both a Health Insurance Portability and Accountability Act (HIPAA) and General Data Protection Regulation (GDPR) compliant. We prioritize safety and security and vows to protect your data by providing you with services through secure web-based processes and ensuring a secure environment for our coders to work in. We vigorously follow an established HIPAA Security policy and HIPAA Privacy policies to examine, manage, maintain, and control risks in the management of our clients’ data. Coding Department completes a yearly risk analysis and actively reviews our data security.
Where is Coding Department based?
We are truly an international organization. In addition to offices in California and Texas, we also have two offices strategically located in the Philippines in Davao City and Dumaguete City. This allows us to substantially reduce the per assessment cost to our clients. Given our multiple locations, in the case of an unforeseen disaster or extended internet outage, we can ensure your assessments will still be processed.
Do the Philippines-based coders speak English?
The Philippines is actually the third largest English-speaking country in the world. All of our Philippines-based coders are fluent in English, which allows all of our Coding and QA Supervisors to communicate directly with our agency partners.
Do your coders have the same level of training as US-based coders?
Yes. All of our coders must first earn their BSN prior to entering our 12-week medical coding training program. In addition to our own training program for all of our coders, many members of our coding have passed and are active with the CPC, HCS-D, HCS-H, and HCS-O certifications.
Is Coding Department prepared for PDGM?
Over the last 6 months, we’ve been conducting weekly training sessions in preparation for PDGM. We are now flagging all questionable codes and codes that are not included in one of the 12 groups/subgroups. We are also providing our clients with the necessary training to help educate their referring physicians to meet the documentation requirements for PDGM.
